1. Definitions
“PlanLog”
Refers to our digital care management platform, including all related websites, applications, and services.
“User”
Refers to anyone using our services, including but not limited to:
Care Providers – Organisations or individuals managing care for Service Users
Staff – Employees or contractors providing care services
Service Users – Individuals receiving care
Family Members – Relatives or guardians of Service Users with access to relevant information
“Personal Data” refers to any information related to an identifiable person, in line with UK GDPR.
2. Acceptance of Terms
By registering, accessing, or using PlanLog, you confirm that you:
Are at least 18 years old (or have legal guardian consent if applicable)
Have the authority to agree to these Terms on behalf of an organisation (if applicable)
Will comply with all applicable laws and regulations
Important: If you do not meet these requirements, you must not use PlanLog.
3. Obligations of PlanLog
PlanLog commits to:
Providing a secure and reliable platform for managing care services
Protecting user data in compliance with UK GDPR and other applicable laws
Ensuring reasonable system uptime and service availability
Continuously improving features based on user feedback and technological advancements
Note: PlanLog does not guarantee uninterrupted service and may conduct maintenance or updates as needed.
4. Obligations of Users
4.1 General User Responsibilities
All users must:
Use PlanLog lawfully and ethically
Ensure information provided is accurate and updated regularly
Maintain confidentiality and protect login credentials
Report any security breaches or unauthorised access immediately
🚫 Users must NOT:
Misuse the platform for fraudulent or illegal activities
Share, distribute, or exploit sensitive data without consent
Attempt to hack, disrupt, or compromise the system
4.2 Care Provider Responsibilities
Ensure compliance with healthcare regulations
Manage staff access and permissions appropriately
Verify and update Service User records regularly
Maintain professional and ethical conduct in care management
Care Providers are responsible for data input accuracy, ensuring stored information about Service Users is correct and up to date.
4.3 Staff Responsibilities
Use PlanLog only for professional care-related activities
Maintain the confidentiality of Service User data
Accurately record care activities (e.g., medication administration, visits)
Follow organisational policies and security guidelines
4.4 Service User Responsibilities
Service Users (or their legal guardians) may:
Access personal care plans, schedules, and reports
Request changes to their data, where applicable
Report any incorrect or outdated information
4.5 Family Member Responsibilities
Family Members may:
View Service User records, subject to permissions granted by Care Providers
Communicate with Care Providers regarding care plans
Ensure their access is used responsibly and only for assisting the Service User
5. Account Security & Access
Each user must create a secure account with a strong password
Sharing login credentials is strictly prohibited
PlanLog reserves the right to suspend accounts if unauthorised access is detected
6. Data Protection & Privacy
PlanLog follows UK GDPR and ensures appropriate safeguards
Care Providers must ensure consent for Service User data entry

7. Use of the Platform
PlanLog grants users a limited, non-exclusive licence for authorised purposes only.
🚫 Prohibited Actions:
Copying, modifying, or distributing PlanLog’s software
Reverse-engineering any part of PlanLog
Commercial exploitation outside intended purpose
8. System Availability & Updates
Aim for 99% uptime with possible maintenance
Notification for major updates/downtime
Continuous security and performance improvements
9. Fees & Payment
Subscription fees for some features
Fees are non-refundable (except where required by law)
